Zone One is a program
specifically designed for a Fujitsu ScanSnap Scanner. The program
will search the output PDF file for a value and use it to name the file. The
value can be anything the user wants such as a Work Order Number,
Invoice Number, Delivery Ticket Number, Customers Name etc.
To find what is to be
used to name the file, Zone One utilizes EasyPatterns when searching text. EasyPatterns are similar to regular expressions
but as the description says "Easy" as in easy to learn and
use. This EasyPattern becomes a rule that
is applied to the search criteria. Each time a new document arrives
from the ScanSnap scanner,
the text is extracted and searched with the rule applied. A rule can
be as simple as bring back the first 10 digit number that was between
lines 6 and 10 of text and began with a 34. By using this method the
user has validated results.
Easy Pattern examples:
[3+(digit)]
This captures an entire number that has at least 3 digits
[6digits]
This Captures exactly 6 digits
35[+4digits]
This Captures a number that begins with 35 and has 4 more digits
[4digits]AB[2digits]VIN[2+digits]
This would return a mixture of letters and digits and the letters
have to be specific
It would begin with 4 digits, have the letters
AB, a two digit number, the letters VIN followed by at least 2 or
more digits such as 1234AB12VIN34
[4digits][2+letters][2digits]VIN[2+digits]
This is similar to the expression above only instead of it having
the letters "AB" returned it will return at least two or more
letters followed by a two digit number, the letters VIN and two or
more digits Setup is easy and quick, the
user enters an input folder (the folder where PDFs are placed from
ScanSnap, an output folder, and a folder for failed files. The user
then builds the rule and lets the software run.
Zone One realizes that OCR is
not perfect and has taken this into consideration in its design. The
program allows for Fuzzy logic replacement. For instance, if the OCR
keeps bringing back an "o" instead of a "0", Zone One can take this
into consideration when applying the search rule. Since even with
this an item can still fail, so with Zone One is a utility that
quickly loads a PDF, zooms into the area where the value is located
and allows the user to key it in and have the next file
automatically loaded.
